Why We Value Your Privacy

We value your privacy as much as we do our own, so we're committed to keeping your personal and business information safe. We're uncomfortable with the information companies, governments, and other organisations keep on file, so we ask for only the bare minimum from our customers. We'll never use your personal information for any reason other than why you gave it, and we only share it with the processors listed below or where we're required to by law.

What Data Do We Collect From You?

Depending on how you use our site, we may collect some or all of the following personal data from you.

  • Contact information such as name, email address, postal address and telephone number.
  • Booking and payment details, when you make a reservation with us.
  • System information, such as IP address, browser type and version, and operating system.
  • Information about your activity on our site.
  • Other publicly available information, including any which you have shared via a public platform such as Twitter or Facebook.

How We Use Your Data

All personal data is processed and stored securely. We do not keep your personal data for any longer than it is necessary in light of the reason(s) for which it was first collected.

  • Core booking and financial records are retained for 6 years in line with UK accounting and tax requirements.
  • Other personal data, such as enquiries or marketing contact details, is deleted if we've had no action with it for 24 months.
  • Where we have a legal obligation to keep it longer than that, we will delete it as soon as our legal obligation is discharged.
  • We may keep your data longer if we are involved in a legal claim or dispute. Where this is the case, we will delete it as soon as such claim or dispute is resolved.

We may use your data for the following purposes:

  • Providing and managing your access to our website and services.
  • Personalising and tailoring your experience on our website and services.
  • Providing and managing your account on our booking system.
  • Communicating with you (replying to your emails and enquiries).
  • To provide you with goods and services as ordered.
  • Market research.
  • Analysing your use of our site and services, gathering feedback, to continually improve our site and your experience.
  • CCTV, for venue safety and security. CCTV footage does not record audio and is ordinarily deleted after 30 days.
  • Optional team photos taken during your visit — only where you have given consent. You can decline at registration or ask us to remove a photo afterwards by contacting us. For children, the required parent, guardian or lead-booker permission must be obtained.

You will always be able to unsubscribe or opt out from marketing communications at any time.

Where We Store Your Information

When you contact us by email or through our website, we store your information in our webmail as provided by GoDaddy.

If you sign up for a newsletter, we store your email address in Mailchimp, which is our marketing platform.

When you make a booking, your information is stored in Resova, our booking platform, and within Stripe/Square, our payment gateway.

We chose these systems partly for their commitment to security.

When you use website chat or an enquiry form, we process the details and messages you provide so we can answer your request and manage any booking or follow-up. Our authorised staff and service providers for chat, workflow automation and customer management may process this information on our behalf. Please avoid sending payment-card details or unnecessary sensitive information through chat.

What We Use Your Information For

We occasionally use your contact information to send you details of our products and services. When we do, you have the option to unsubscribe from these communications and we won't send them to you again.

We might also email or phone you about our products and services, but if you tell us not to, we won't get in touch again. We will use your information to send you invoices, statements, or reminders.

Do We Use Cookies?

Yes. Cookies are small files that a site or its service provider transfers to your computer's hard drive through your web browser (if you allow) that enable the site's or service provider's systems to recognise your browser and capture and remember certain information. They are also used to help us understand your preferences based on previous or current site activity, which enables us to provide you with improved services.

  • Facebook Pixel, for targeting and advertising

We Use Cookies To

Compile aggregate data about site traffic and site interactions to offer better site experiences and tools in the future. We may also use trusted third-party services that track this information on our behalf.

Who Has Access To Information About You

When we store information in our own systems, only the people who need it have access. Our management team have access to everything you've provided, but individual employees have access to only what they need to do their job.

The Steps We Take To Keep Your Information Private

Where we store your information in third-party services, we restrict access only to people who need it. We store passwords securely, use a different, randomly generated password for each service, and never use the same password twice.

The computers we use are all protected by a passcode or fingerprint access. These computers ask for authentication whenever they're started or after 5 minutes of inactivity. Our mobile devices are also protected by a password, fingerprint or facial recognition.
